Visitor registration privacy policy

DISCLOSURE pursuant to Article 13 of EU Regulation 2016/679 ("GDPR")

1. DATA CONTROLLER

FederUnacoma Surl, with registered office in Via Aldo Moro, 64, Torre I, Bologna, in the person of its pro tempore legal representative, is the controller of your personal data (the "Data Controller" or "FederUnacoma").

2. DATA PROTECTION OFFICER

The Data Controller has appointed a data protection officer ("Data Protection Officer" or "DPO") who can be contacted by sending an email to the email address dpo@fedrunacoma.it or by writing to the following address:

3. DEFINITION OF PERSONAL DATA AND INFORMATION RELATING TO PROCESSING ACTIVITIES

According to the GDPR, by common personal data we mean: "any information regarding a natural person identified or identifiable; a natural person is considered identifiable if he can be identified, either directly or indirectly, with particular reference to an identifier such as a the name, an identification number, location data, an online ID or one or more characteristic elements of his physical, physiological, genetic, psychological, economic, cultural or social identity" (the "Data").

As part of your participation in the exhibition, in order to allow you to participate in the event, FederUnacoma handles the following types of data:

  • i) personal data (name, surname) and contact details (email, telephone number, fax, VAT no.);
  • ii) photographs, images and audiovisual footage that portray you during the events in which you took part.

If you do not have Italian citizenship, the Data Controller may request data relating to the number, date of issue and expiry of your passport. This data is not stored by the Data Controller, but is exclusively functional to the request and issuance - following the request for the issuance of the event ticket - of the invitation letter, a document that may also be shown to Italian public authorities.

Providing this personal data is voluntary yet necessary to allow you to take part in the event promoted by FederUnacoma; if this data is not provided, you will not be able to benefit from the aforementioned service.

We also report that during the event organized by FederUnacoma, audio and video recordings might be made and photographs might be taken. This will take place without invading the personal sphere of the persons being recorded/photographed.

In any case, the Data Controller undertakes to ensure that the information collected and used is appropriate to the purposes described in the following paragraph and that this does not lead to an invasion of your personal privacy.

4.  PURPOSES OF THE PROCESSING

a. To follow up on your requests
Your data will be processed by FederUnacoma to enable you to take part in initiatives/events organised by FederUnacoma for the management of the respective contractual relationship. The legal basis for the processing is the performance of a contract or the execution of pre-contractual measures to which you are party. The provision of data is voluntary. However, your refusal to release or your complete objection to processing for the purposes set out in this point may still make it impossible to participate in the event or/and to provide you with the service you have requested.

b. For marketing purposes
The Data Controller may process your Personal Data in order to send you communications of a commercial nature and/or promotional initiatives for the purpose of directly offering its products and/or services similar to those you have already subscribed to (e.g. up-to-date information on our projects, activities and events). The legal basis for such processing is the legitimate interest of the Data Controller. In any event, you may object at any time to receiving such communications by writing to the Controller at info@federunacoma.it.

c. Indirect marketing
FederUnacoma, with your express and specific consent, may send you commercial communications relating to services or products of companies operating in the sectors you are interested in. You may revoke your consent to the use of your data for the purposes described in this paragraph at any time by writing to the Data Controller at privacy@federunacoma.it. In any case, you can still use the services offered by FederUnacoma.

d. Communication/data transfer to third party companies
FederUnacoma, subject to your express and specific consent, FederUnacoma may communicate and/or transfer some of your Data to third party companies, with which it may enter into partnership agreements, belonging to sectors related to the events and activities organised by the Data Controller. These companies, as autonomous data controllers, may use your data for commercial and promotional purposes and direct offers of their own products and services. You may revoke your consent to the use of your data for the purposes described in this paragraph at any time by writing to the Data Controller at privacy@federunacoma.it. In any case, you can still use the services offered by FederUnacoma.

e. Profiling
FederUnacoma, with your express and specific consent, will carry out profiling activities aimed at understanding your possible needs in relation to the offer of new services based on the preferences you have expressed. With reference to this purpose, the legal basis of the processing is your specific consent, in the absence of which the Data Controller cannot carry out profiling activities on your data. In any case, you can still use the services offered by FederUnacoma.

f. Fulfilment of a legal obligation
FederUnacoma may process your data for purposes relating to the fulfilment of a legal obligation to which the data controller is subject (e.g. for administrative, tax and legal purposes). The legal basis for such processing is therefore the fulfilment of a legal obligation.

g. Protection of a right
FederUnacoma may process your Data for the purposes necessary to ascertain, exercise or defend a right of the Data Controller, including in court, or whenever judicial authorities exercise their jurisdictional functions. The legal basis for such processing is the legitimate interest of the Controller.

h. Publication of materials, communications, articles and/or presentations
Your data will be processed by FederUnacoma to take video footage and/or photographs during exhibitions and events for publication on our websites/landing pages and social profiles (e.g. Facebook, Youtube, etc.) and in brochures, catalogues, flyers and other printed material promoting the events. The legal basis for the processing is the legitimate interest of the data controller, since the filming carried out by the data controller for this purpose is exclusively generic. Any refusal on your part would make it impossible for FederUnacoma to provide the requested service. In any case, filming and photography will be carried out without invading the personal sphere of the subjects filmed/photographed. Any specific photographs or filming will, on the other hand, only be carried out by FederUnacoma following your consent, which you may be asked for accompanied by appropriate information and a dedicated release.

5. PRIVACY POLICY ON USE OF IMAGES

Videos and photographs taken during initiatives promoted by FederUnacoma may be published in order to document and publicise events on the Federation's websites, as well as on its social media and on printed material such as presentations and brochures. 

In any case, filming and photography should be carried out without invading the personal sphere of the subjects being filmed/photographed, paying attention to the angle of the photograph/recording (by way of example, avoiding close-up shots, opting for shots taken from above or very wide fields, which make it possible to contextualise the location of the event, but not to recognise individual persons; in the event that the photograph/recording also includes minors, their faces should be obscured. With exclusive reference to video recordings, do not capture fragments of conversations between the persons concerned).  

The processing of data is based on the legitimate interest of the Data Controller, as the filming carried out within the scope of this purpose is exclusively generic and in accordance with your rights and freedoms. Any refusal would make it impossible for FederUnacoma to provide the requested service.   

The images will be used for the period necessary for the communication of what occurred at the event until the next edition; after this period, they will be kept in the Data Controller's historical archive. 

If a filmed/photographed subject considers that there has been an invasion of their rights and freedoms as a result of the publication, they may request deletion by sending an email to dpo@fedrunacoma.it

Any specific photographs or filming will, on the other hand, only be carried out by FederUnacoma following explicit consent, which may be required accompanied by appropriate information and a dedicated release.

6. PROCESSING METHOD

Processing is carried out using manual and/or computerised and telematic tools, in such a way as to guarantee the security, integrity and confidentiality of the data in compliance with the physical and logical organisational measures provided for by the provisions in force, so as to minimise the risks of destruction or loss, unauthorised access, modification and unauthorised disclosure in compliance with the methods set out in Articles 6, 32 of the GDPR.

7. COMMUNICATION OF THE DATA TO PERSONS LOCATED INSIDE AND OUTSIDE THE EU

Your personal data may be communicated to and processed by external parties operating as independent data controllers pursuant to articles 4 and 24 of the GDPR (e.g. authorities and supervisory and control bodies and, in general, public or private parties entitled to request the data and/or parties operating as Data Supervisors pursuant to art. 28 GDPR), such as, again by way of example, subjects whose services are used for the performance of activities connected with the organisation of the event and related initiatives and/or the publication of multimedia content collected during the event, consultancy companies and/or professional firms and/or professionals, e.g. legal, tax and insurance companies.

The list of Data Supervisors is updated by the Data Controller and is available for consultation at its email address privacy@federunacoma.it.

Your data, subject to your consent, may also be communicated to third-party companies in sectors related to the events and activities organised by the Data Controller with which FederUnacoma may enter into partnership agreements.

In addition, the Data Controller may also communicate your data to persons entitled to it by virtue of legal obligations.

Finally, after obtaining your consent, your image may be disseminated to unspecified parties through the channels used by the Controller including websites, social media and printed magazines.

Your data will not be transferred outside the European Union. In any case, should your data be transferred to entities located in non-EU territory, all necessary precautions will be taken to ensure the fullest protection of your Personal Data in compliance with the conditions set out in Article 45 et seq. of the GDPR.

8. STORAGE PERIOD

Your data will be kept for a period of time not exceeding that necessary for the purposes for which they were collected or subsequently processed in accordance with legal obligations.

The Data referable to you, collected in order to allow you to participate in the event and/or a certain initiative or provided as part of the same will be processed throughout the duration of the event/initiative that the data collection relates to and will be stored for the applicable prescribed period following the conclusion of this event/initiative, solely for purposes related to the fulfilment of legal obligations or the defence of FederUnacoma's rights in court.

With regard to subjects lacking Italian citizenship, the data relating to the number, date of issue and expiry of the passport, are processed for the time strictly necessary for the issue of the invitation letter and are not kept by the Data Controller.

Finally, with reference to processing for marketing purposes, profiling and communication and/or transfer of your Data, the Data Controller will process the Data relating to you for the entire duration of the relationship and for as long as there are obligations or fulfilments connected with the execution of that relationship, unless you object or revoke the consent you have given.

The images will be used for the period necessary for the communication of what occurred at the event until the next edition; after this period, they will be kept in the Data Controller's historical archive.  

9. YOUR RIGHTS IN YOUR CAPACITY AS DATA SUBJECT

During the period in which FederUnacoma holds or processes your personal data, you, as a data subject, may at any time exercise the following rights under Articles 15 - 22 GDPR:

Right of access - You have the right to obtain confirmation of the existence or otherwise of data processing concerning your personal data, as well as the right to receive any information relating to such processing;

Right to correction - You have the right to obtain the correction of your personal data in our possession if they are incomplete or inaccurate;

Right to deletion - in certain circumstances, you have the right to obtain the deletion of your personal data in our archives;

Right to limitation of processing - upon the occurrence of certain conditions, you have the right to obtain the limitation of processing of your personal data;

Right to portability - you have the right to obtain the transfer of your personal data in our possession to a different Data Controller;

Right to object - you have the right to object, at any time for reasons connected with your particular situation, to the processing of your personal data, including profiling, based on the lawfulness of the legitimate interest or the performance of a task of public interest or the exercise of public powers, unless there are legitimate reasons for the Data Controller to continue the processing that prevail over the interests, rights and freedoms of the Data Subject or for the assessment, exercise or defence of a right in court;

Right of withdrawal of consent - you have the right to withdraw your consent to the processing of your personal data at any time, without prejudice to the lawfulness of the processing based on the consent before revocation;

Right to lodge a complaint with the Supervisory Authority - in the event that FederUnacoma refuses to meet your requests for the exercise of the rights recognized under the GDPR, the reasons for such refusal will be given. If applicable, you have the right to lodge a complaint as described in paragraph 10 below.

10. COMPLAINTS

If you wish to lodge a complaint regarding the manner in which your data are processed by FederUnacoma, or with regard to the management of a complaint you have submitted, you have the right to file an application directly with the Supervisory Authority.
